Based in Houston, the Office Assistant will be primarily responsible for supporting the Houston office Director of Administration in a variety of areas.

This role will report to the Director of Administration, Houston.

Responsibilities include but are not limited to:

  • Providing general administrative support by effectively partnering with the Director of Administration.
  • Actively seeking to develop strong working relationships with attorneys and staff.
  • Working cross-functionally to assist with the coordination of various events.
  • Leveraging the Firm’s applicant tracking system, viRecruit, to effectively manage open positions and candidates.
  • Reviewing applications, schedule interviews, complete pre-employment checks and other recruiting related tasks for local Houston staff positions.
  • Entering new hires into the Firm’s onboarding platform and partner with members across various departments to ensure new hires are setup correctly and timely.
  • Assisting with new hire orientations and assist with the completion and review of I-9 forms.
  • Coordinating federal, state and city labor law posters for the Houston office to ensure compliance.
  • Ensuring CPR/AED machines, fire extinguishers, shelter in place bags, and other protective equipment are regularly maintained.
  • Updating and maintaining the local office’s internal intranet site.
  • Tracking tasks, calendaring & setting reminders to keep DOA on track and on schedule.
  • Administrative record keeping.
  • Assisting with the management of vendor relationships.
  • Submitting invoices and expenses in ChromeRiver.
  • Creating local office news bulletins and announcements.
  • Working with the building’s management office on various issues.
  • Other items as requested or required by Director of Administration.

Qualifications

  • Capable of maintaining confidence of personal and highly sensitive information.
  • Effective communication skills (written and verbal) to interact with all levels of leadership.
  • Strong organizational skills with ability to prioritize multiple tasks and priorities, while meeting deadlines of fast-paced environment.
  • Strong attention to detail and a proactive mindset.
  • Demonstrated knowledge of general Human Resources practices and principles and federal and state regulations.
  • Critical thinking and sound judgment with ability to analyse and resolve problems.
  • Ability to work overtime as necessary.

Experience

  • An undergraduate degree is preferred but not required.
  • Minimum of two years of administrative experience is required, prior experience in law firm or professional services environment is a plus.
  • Experience with onboarding platforms, such as SilkRoad, and applicant tracking systems, particularly viRecruit, strongly desired.
  • Demonstrated high level of proficiency in Microsoft Word, Excel, Outlook and PowerPoint.

Compensation & Benefits:

The annual compensation range for this position is $70k – 75k. The salary offered within this range will depend upon qualifications and other operational considerations.
