Based in Los Angeles, the Assistant Manager, Human Resources – Operations will oversee the daily management and administration of all HR and personnel-related data. They will be responsible for the direct supervision, development, and assignment of work for their team members to ensure efficient HR operations.

This role reports to the Manager, Human Resources – Operations and will work closely with HR, Benefits, and Payroll managers. The Assistant Manager will also liaise with firm leadership, department Chiefs, Directors, and key stakeholders across various departments to support HR initiatives and ensure seamless coordination.

Responsibilities include:

  • Supervising the creation, updating, and maintenance of employee records in the HRIS database, ensuring all personnel records are accurate and compliant with USCIS Form I-9 Employment Eligibility Verification.
  • Providing support to the HR Manager, Operations, by reviewing and approving personnel action forms (PAF) for new hires, transfers, promotions, and employment status changes.
  • Overseeing the onboarding processes firm-wide and ensuring the onboarding portal, SilkRoad, aligns with the business needs and requirements of the firm.
  • Contributing to the implementation and application of best practices for maintaining personnel and employment-related data, documenting data entry procedures, and ensuring compliance with firm policies and approvals.
  • Developing and reviewing audit reports to verify HRIS data accuracy and ensuring timely correction of identified errors.
  • Collaborating with the HR Manager, Operations, and Sr. HRIS Manager to maintain data integrity that meets the firm’s business requirements.
  • Understanding the flow of data from the HRIS database to other firm systems and departments, supporting each functional area’s needs.
  • Serving as an HR resource across the firm by responding to inquiries related to firm policies and procedures, ensuring consistent application and compliance with employment laws and regulations.
  • Assisting HR management in the annual review, development, and implementation of processes and procedures.
  • Providing back-up support for Bar audit reporting and other areas as needed.

Qualifications

  • Proven working knowledge of HR systems and best practices.
  • Critical thinking and sound judgment with ability to analyze and resolve problems.
  • Experience in providing accurate, timely and responsive services on complex problems.
  • Capable of maintaining confidence of personal and highly sensitive information.
  • Excellent customer service and communication (written and verbal) skills and ability to interface with individuals across all levels of the firm.
  • Strong organizational skills with ability to prioritize multiple tasks and priorities, while meeting deadlines of fast-paced environment.

Experience

  • Bachelor’s Degree in Human Resources or related field or equivalent relevant work experience, required. Human Resources Certification preferred.
  • Minimum of five (5) years’ experience in human resources department as a generalist or specialist.
  • Demonstrated knowledge of Human Resources, Payroll, and Benefits practices and principles, as well as general knowledge of federal, state, and local employment laws and regulations. Familiarity with international employment laws, practices, and data privacy laws a plus.
  • Experience with PeopleSoft 9.2 (or above), SilkRoad, viGlobal, Adobe Acrobat Pro, Microsoft Suite and/or other HR information systems is preferred.
  • Demonstrated high level of proficiency in Microsoft Office, including Access, Word, Excel, Outlook, and PowerPoint
  • Knowledge of SharePoint desirable.

Compensation & Benefits:

The annual compensation range for this position is $110-120k. The salary offered within this range will depend upon qualifications and other operational considerations.
