Based in our Washington D.C. office, the Catering & Facilities Coordinator will be responsible for supporting the Catering, Office Services, and Facilities operations of a large law firm with 250,000 square feet of office space, including 33 conference rooms and 13 pantries. This position will assist with both in-office and off-site meetings and events, and with office services and facilities projects, such as internal office moves, setting up employee and visitor offices, and the upcoming move to our new office space.  This position will also represent the firm in communications with vendors, clients, customers, and colleagues; and assist the Office Services Manager in support of office operations.

The role reports to the Office Services Manager.

 

Responsibilities include:

  • Managing conference room reservations utilizing the Firm’s conference room software, Room Scheduler, to schedule and set-up conference rooms for meetings and/or special events, and ordering catering.
  • Assist with all meeting requests, including the set-up, clean-up, and support of meetings and events.
  • Checking inventory and ordering of office supplies.
  • Training and supervising team members to adhere to the highest levels of customer service.
  • Stocking, maintaining and cleaning of satellite kitchens.
  • Reconciling and processing invoices and reimbursements.
  •  Providing back-up coverage at the Reception Desk and for the Office Services Manager as needed.

Qualifications

  • Maintain a clean and organized conference center while exhibiting a high level of attention to detail.

  • Generate clear, concise and well-organized written communications.
  • Readily and easily adapt to changes in the work environment while maintaining flexibility and composure.
  • Consistently meet deadlines, exhibit dependability, follow instructions well, and have the ability to take initiative to complete tasks without direction as appropriate.
  • A strong desire to provide an excellent customer care experience in all areas of responsibility.
  • Ability to work overtime as needed.
  • Ability to lift, move and push up to 25 pounds on a regular basis, and to bend, stoop and reach for objects frequently.
  • Ability to remain on one’s feet (standing and walking) for long periods of time.

Experience

  • High School Diploma or equivalent required. Two or four year college degree preferred.
  • 3-5years of experience working in catering and conference services or a similar role in a large law firm or other professional services organization.
  • Proficiency in Microsoft Office applications (Word and Outlook).
  • Familiar with online ordering platforms and experience with conference room databases a plus (Room Scheduler, EMS, RoomTracker).
  • Prior supervisory experience preferred

Compensation & Benefits:

The annual compensation range for this position is $60-70k. The salary offered within this range will depend upon qualifications and other operational considerations.
