Based in Washington D.C., the Legal Administrative Services Assistant will be a team player with strong interpersonal and organizational skills and the ability to juggle multiple projects and deadlines. The Legal Administrative Services Assistant must have strong attention to detail, capability to handle responsibilities with the highest level of integrity and discretion, willingness to assume increasing levels of responsibility, and ability to interact effectively with people at all organizational levels of the firm.

This role reports to the Manager, Legal Administrative Services.

Responsibilities include:

  • Providing general administrative support to the Legal Administrative Services Manager.
  • Drafting correspondence to attorneys, legal/administrative assistants and external contacts.
  • Providing department recruiting support to include applicant tracking and interview coordination.
  • Producing accurate charts and reports utilizing data provided and assembled from various sources.
  • Assisting with the development of orientation and training schedules to include coordinating meeting times, formatting documents, and making conference room and technology reservations.
  • Creating daily coverage notices and maintaining department attendance charts.
  • Maintaining a variety of department charts including share groups, attorney pairings, and back up support.
  • Preparing reimbursements and check requests for payment of various invoices using ChromeRiver accounting software.
  • Assisting in preparing meeting materials and PowerPoint presentations.
  • Maintaining department calendar to include recording, tracking and updating key dates for meetings, ongoing activities, and communications.
  • Assisting with projects as assigned to include working with Manager to create and organize various department resources, files, references, and intranet pages.

Qualifications

  • Ability to maintain confidentiality of personal and highly sensitive information.
  • Effective communication skills (written and verbal) to interact with all levels of employees and external contacts.
  • Strong organizational skills with ability to prioritize multiple tasks and projects while meeting deadlines in a fast-paced environment.
  • Ideal candidate must have exceptional attention to detail, including strong proofreading skills.
  • Sound judgement and ability to exhibit independent thinking, creativity and resourcefulness.
  • Ability to take direction and follow instructions without close monitoring and follow up.
  • Demonstrated high level of proficiency in Microsoft Word, Excel, Outlook, PowerPoint and Adobe.
  • Ability to work overtime as necessary.

Experience

  • Undergraduate degree or equivalent relevant work experience required.
  • Minimum of two years of administrative experience is preferred, prior experience in law firm or professional services environment is a plus.

Compensation & Benefits:

The annual compensation range for this position is $55-70k. The salary offered within this range will depend upon qualifications and other operational considerations.
