Based in Washington, D.C., the Legal Administrative Services Coordinator will be responsible for the day-to-day coordination of the workflow of all Legal Assistants and ensuring the team delivers high-quality service, in the most efficient manner so that attorney and client needs are met promptly and effectively.

This role requires a strong communicator at all levels who will build trust and a positive working relationship with the secretarial team and attorneys, while managing their comfort with change. This role will work closely with the Legal Assistants, Legal Administrative Services Manager and Director of Administration to positively implement change, navigate new ways of working and develop efficiencies as required by the business. The candidate must also monitor and ensure the effective flow of work so that contributions are balanced across the team. This position contributes to strategy, training, development, and innovation within the department, supporting the Firm’s short-term and long-term goals for Legal Assistants.

This role reports to the Legal Administrative Services Manager.

Responsibilities include:

  • Coordinating the Legal Assistant schedule and ensuring appropriate in-office coverage by arranging back-up coverage for planned and unexpected secretary absences. Providing recommendations and proposing strategies to respond to staffing challenges and high absence periods.
  • Engaging with the secretarial team daily to develop a strong and trusting relationship with each team member.
  • Continuously monitoring, evaluating, and analysing the workload of team members individually and overall workflow to ensure an even workload amongst the team and that deadlines are met.
  • Collaborating in the hiring process for the department by working with the Legal Administrative Services Manager to recruit, interview, and make hiring recommendations.
  • Working closely with the Legal Administrative Services Manager and collaborating with Director of Administration to deliver ad hoc projects, including analysing existing and developing new ways of working, improving service delivery, and implementing new systems and processes.
  • Supporting the skills development of team members by identifying training opportunities, providing information and coordinating training from technical trainers and other resources.
  • Monitoring work quality/productivity and alerting Legal Administrative Services Manager to any concerns.
  • Working with the Legal Administrative Services Manager to develop new hire onboarding schedules, supervising integration processes and participating in orientation and mentoring.
  • Assisting with identifying and implementing appropriate professional development training for the department and individuals to help them provide exceptional service; monitor development to ensure attorney needs are met.
  • Providing feedback to Legal Administrative Services Manager and Directors of Administration regarding individual performance of Legal Assistants.
  • Coordinating and leading team meetings, promoting team engagement with support of the Legal Administrative Services Manager.
  • Acting as a working coordinator, balancing managing workflow with providing Legal Executive Assistant-level support to attorneys and assisting the team with overflow secretarial tasks when required.
  • Developing a mastery of the Firm’s processes and departments, and proficiency in the Firm’s software applications.
  • Providing orientation and support overview to new attorneys and reinforce protocols on an ongoing basis.
  • Providing minimal backup coverage for Legal Administrative Services Manager.

Experience

  • 5+ years of legal secretarial experience in a law firm or professional services environment, performing complex administrative tasks and projects.
  • Previous coordinator, leadership or supervisory experience of a secretarial team in a law firm or professional services environment.

Compensation & Benefits:

The annual compensation range for this position is $80-100k. The salary offered within this range will depend upon qualifications and other operational considerations.
