Based in New York, the Legal Executive Assistant will be responsible for working with their assigned partners to coordinate daily activities and provide the highest level of administrative support and practice coordination.

This role reports to the local Legal Administrative Services Manager and Director of Administration, taking daily direction from their assigned partners.

Responsibilities include:

  • Providing executive support as part of a team of Executive Assistants to a group of partners within the Litigation Practice Group.
  • Collaborating closely with assigned partners to effectively manage day-to-day coordination of the partner’s respective practices.
  • Managing a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, time entry and answering telephone calls.
  • Managing client onboarding, billing and relationship management activities.
  • Organizing complex domestic/international travel arrangements, with detailed itineraries both personal and professional. This includes coordinating flights, hotel accommodations, car service, visas, dining reservations, etc.
  • Liaising with other firm departments and key stakeholders to complete tasks effectively and efficiently.

Qualifications

  • High attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Exceptional verbal and written communication and people skills, with the ability to collaborate
  • effectively with diverse stakeholders and clients.
  • Ability to work independently and with a team, and to delegate and manage resources effectively.
  • Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.
  • High level of integrity and discretion in handling confidential information.
  • Self-starter with demonstrated instances of taking initiative.
  • Creative thinker who is resourceful and anticipatory of the needs of their assignments.
  • Ability to quickly learn and utilize industry specific computer applications.
  • Ability to work overtime when necessary.

Experience

  • Bachelor’s degree preferred.
  • 5+ years relevant experience required, preferably in a professional services environment.
  • Law firm experience strongly preferred.
  • Highly skilled in Microsoft Office Suite.

Compensation & Benefits:

The annual compensation range for this position is $115-135k. The salary offered within this range will depend upon qualifications and other operational considerations.
