Gibson Dunn seeks a Library Assistant for its Research and Information Management (RIM) Department. The RIM Department provides research assistance to the Firm’s partners and associates and others within the Firm. The RIM Department also oversees all research related subscriptions and online research resources; therefore, the candidate must be very flexible and highly committed to quality, customer service, teamwork and supporting Firm and department goals in a fast-paced environment.
Based in Los Angeles, the Library Assistant will be responsible for administrative services and assisting our Research team with administrative tasks as needed. This position will proactively monitor new and departing staff to ensure licenses and user access is managed accordingly while also processing and managing invoices, the attorney book allowance, cost recovery submissions, and paper filing.
This role reports to the Senior Research Manager.
Responsibilities include:
- Administering and managing the Associate Book Allowance process.
- Entering data into the firm’s book allowance database.
- Acting as the first level approver of book allowance expenses.
- Calculating the international cost adjustments as they change throughout the year.
- Helping to maintain data on the firm’s intranet for the Research & Information Management department.
- Helping to manage online passwords and auto-forwarding rules for online services.
- Assisting in processing invoices.
- Inputting client-billable information into firm’s accounting system.
- Performing other tasks and duties as needed to support the RIM Department.
Qualifications
- Must have strong organizational skills with ability to handle multiple tasks simultaneously.
- Must be self-motivated and be willing to take the initiative to complete tasks accurately and in a timely manner.
- Excellent attention to detail and the ability to work harmoniously with others.
- Effective oral and written communication skills, along with strong customer service skills.
- Ability to work overtime as necessary.
Experience
- A minimum of 1 to 2 years of general office experience is required, with prior experience in a law firm preferred.
- Good knowledge of Microsoft Word, Excel, and Outlook.

Compensation & Benefits:
The annual compensation range for this position is $60-70k. The salary offered within this range will depend upon qualifications and other operational considerations.
