Based in Los Angeles, Century City, Orange County, San Francisco, or Palo Alto, the Time Entry Coordinator will be responsible for overseeing the workflow of a team of data entry clerks responsible for entering and managing time entries within our law firm. The Time Entry Coordinator will ensure the timely and accurate recording of attorney hours, as well as enforce firm standards for timekeeping and billing practices. In addition to overseeing the work of the data entry clerks, the Time Entry Coordinator will be responsible for training, quality control, and supporting attorneys, staff, and the billing team during month-end time entry deadlines.

This role reports to the Manager, Legal Finance Operations.

Responsibilities include:

  • Mentoring and training a team of data entry clerks responsible for entering time worked by attorneys into the firm’s timekeeping system.
  • Monitoring the work of data entry clerks to ensure time entries are accurate, complete, and compliant with the firm’s timekeeping policies. Address errors and discrepancies promptly.
  • Overseeing workflows and monitoring to ensure the timely and accurate completion of requests received in the Time Entry Inbox.
  • Continuously assessing the efficiency and effectiveness of time entry processes and working with the team to implement improvements. Suggest solutions to streamline workflows and reduce errors.
  • Working closely with the billing department during month-end time entry deadline to ensure completion of all outstanding requests prior to system closure.
  • Monitoring and evaluating the performance of data entry clerks and provide feedback. Address any performance concerns and work to resolve issues effectively.

Experience

  • High school diploma or equivalent required
  • At least 5 years of experience in a law firm or professional services environment, with a focus on timekeeping, billing, or administrative support.
  • Familiarity with legal billing software (e.g., Elite, Aderant, or similar systems) and a strong understanding of legal billing practices is highly preferred.
  • High proficiency in timekeeping systems and Microsoft Office Suite (Excel, Word).

Compensation & Benefits:

The annual compensation range for this position is $110-115k. The salary offered within this range will depend upon qualifications and other operational considerations.
