Based in New York, the Administrative Coordinator will serve as a central resource for communication, scheduling, reporting, and project coordination within the Legal Administrative Services team. They will be responsible for overseeing daily operations, coordinating administrative processes, and providing organizational and logistical support to ensure efficient support for our attorneys.

This role supports and directly reports to the Legal Administrative Services Manager.

The work hours for this position are in-office Monday to Friday, 9:00 AM – 6:00 PM.

Responsibilities include:

  • Providing comprehensive administrative support to the Legal Administrative Services Manager, including drafting and revising documents, coordinating conference rooms and meeting materials, and preparing reports utilizing data from multiple sources.
  • Preparing and distributing daily coverage notices and maintaining the department attendance log.
  • Updating and managing organizational records, including share groups, attorney pairings, and backup support assignments.
  • Maintaining and monitoring the department calendar, tracking key dates for meetings, ongoing activities, and communications.
  • Assisting with the development of orientation and training schedules and materials.
  • Drafting correspondence to attorneys, legal administrative assistants, and external contacts.
  • Supporting office meetings and events.
  • Ensuring office resource materials are up to date.
  • Responding, as needed, to day-to-day policy and operational questions.
  • Providing legal administration and clerical support for attorneys and Business Office staff as needed.
  • Performing other duties and responsibilities as assigned.

Qualifications

  • Ability to maintain confidentiality of highly sensitive information.
  • Proficient in utilizing and learning new systems and software applications, including generating reports.
  • Excellent interpersonal and communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization and external contacts.
  • Strong organizational and time management skills, with the capacity to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong attention to detail, including advanced proofreading and document review skills.
  • Demonstrates sound judgment and the ability to work independently while contributing creative and resourceful solutions.
  • Flexibility to work overtime as needed.

Experience

  • Minimum 3-5 years of experience working in a similar position in a law firm or professional services organization.
  • Bachelor’s degree or equivalent relevant experience preferred.
  • High level of proficiency in various database and software applications, including Microsoft Word, Excel, Outlook, PowerPoint and Adobe.

Compensation & Benefits:

The annual compensation range for this position is $90,000-$120,000. The salary offered within this range will depend upon qualifications and other operational considerations.
