Catering Assistant/Backup Receptionist

Based in Dallas, the Catering Assistant will be responsible for providing concierge-level support. Responsibilities for the Receptionist include greeting clients, handling phone calls, operating the phone system, registering visitors with building security, issuing parking validations and accurately recording usage, logging deliveries, booking conference rooms and handling clerical overflow projects. Additionally, the Catering Assistant will provide backup coverage at the Reception Desk during scheduled breaks, lunches and as needed.
This role reports to the Office Services Manager.
Responsibilities include:
Catering
- Scheduling and preparation of conference rooms for meetings and/or special events, ordering refreshments and/or meals, and replenishing/refreshing beverage service during meetings.
- Remaining on-call during meetings to assist with any requests from within, cleaning up conference rooms after meetings, stocking conference room credenzas and other storage areas with office supplies, and arranging for set-up and audio-visual equipment as required.
- Assisting in the preparation of handouts and other materials for meetings as requested.
Reception
- Greeting, welcoming and announcing clients and visitors to the office in a polite and positive manner.
- Guiding visitors to their respective meeting rooms or visitor offices.
- Scheduling and confirming meeting reservations for Conference Center.
- Tracking and maintaining parking log.
Qualifications
- Proactive and have strong interpersonal and customer service skills as well as the ability to use good judgment in managing administrative tasks promptly and professionally with minimal supervision.
- Strong attention to detail, proficiency in computer operations, and the ability to prioritize multiple projects and problem solve under tight deadlines.
- Candidate will also exhibit a good telephone demeanor and excellent grammar, punctuation and spelling skills.
- Strong communication skills with diplomacy, professionalism and courtesy, by phone, in-person and E-mail are needed.
- Candidate must be well-organized and be able to efficiently produce error-free work product.
- Must be able to maintain workflow and quality assurance.
- Demonstrate excellent customer service and communication skills including the ability to understand and respond to customer needs and requests.
- Ability to work overtime when necessary.
Experience
- College degree preferred.
- Minimum five years’ experience in catering and/or receptionist/front office experience, preferably in a law firm or in a professional services setting.
- Previous experience with concierge-level of customer service displayed at five-star hotels and resorts preferred.
- High proficiency in Microsoft Word, Microsoft Excel and Microsoft PowerPoint (preferably Microsoft Office 2010) and Windows 7.

Compensation & Benefits:
The annual compensation range for this position is $48-55k. The salary offered within this range will depend upon qualifications and other operational considerations.
