Based in Century City, the Catering Coordinator is responsible for taking and managing conference room reservations utilizing the Firm’s conference room software Maptician.
The Catering Coordinator is responsible for a Conference Center consisting of 7 conference rooms, with a total seating capacity of 82 people. A service pantry is housed within the Conference Center and a serving area where catered food will be set up daily. In addition, one hydration/coffee stations and one main work cafe, all within one floor of space, are to be maintained throughout the day.
This role reports to the Catering and Conference Center Manager & Director of Administration.
Responsibilities include:
The primary responsibilities of the Catering Coordinator include, but are not limited to, the following:
- Scheduling and preparation of conference rooms for meetings and/or special events.
- Ordering refreshments and/or meals, and replenishing/refreshing beverage service during meetings.
- Remain on call during meetings to assist with any requests from within.
- Clean up conference rooms after meetings.
- Stock conference room credenzas and other storage areas with office supplies.
- Arrange for set-up of audio-visual equipment as required.
- Assist in the preparation of handouts and other materials for meetings as requested.
- Stocking, maintaining and cleaning the employee lunchroom and satellite kitchen.
- Ordering and maintaining appropriate inventory, daily loading/unloading of dishwashers and periodic cleaning of microwaves and refrigerators.
- Invoice processing.
- Provide back-up coverage at the Reception Desk during scheduled lunches/breaks and as needed.
Qualifications
- Ability to lift, move and push up to 25 pounds on a regular basis, and to bend, stoop and reach for objects frequently.
- Ability to remain on one’s feet (standing and walking) for long periods of time.
- Maintain a clean and organized conference center while exhibiting a high level of detail.
- Interact and communicate clearly with individuals at all levels of the organization.
- Generate clear, concise and well-organized written communications that are free of spelling and grammatical errors.
- Readily and easily adapt to changes in the work environment while maintaining flexibility, composure and poise.
- Consistently meet all deadlines, exhibit dependability, follow instructions well, and take initiative to complete tasks without direction as appropriate.
- Ability to work overtime is required.
- Strong sense of hospitality. Warm, courteous and accommodating in all interactions within the firm.
- Strong attention to detail, excellent organizational and time management skills, and a high level of accuracy.
Experience
- High School Diploma or equivalent required. Two year or four-year college degree preferred.
- A minimum of three years’ experience working in law firm, catering conference services or banquet center or in a similar role in a professional services organization.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
- Familiar with online ordering platforms and experience with conference room databases a plus (Maptician, EMS, RoomTracker, Chrome River).
- Demonstrated skills and experience in menu selections, ordering and food presentation in professional services environment.

Compensation & Benefits:
The annual compensation range for this position is $64-75k. The salary offered within this range will depend upon qualifications and other operational considerations.
