Based in New York, the Community Assistant supports the firm’s clients, partners and associates in an expanding flexible work model. This position requires effective and professional communication skills to coordinate with high profile clients and firm personnel at all levels. A successful candidate will be able to efficiently work independently and as part of a team.

This role reports to the Director of Administration.

**The hours for this role are Monday – Friday 7:00 AM to 4:00 PM (EST).

Responsibilities include:

  • Supporting our Flexible Workspace Program, a complex network of reservable offices and workstations for hybrid attorneys and staff, or those visiting from other offices.
  • Greeting and orienting visitors and employees to the New York office by providing a comprehensive, user-friendly overview of available services, spaces, and amenities.
  • Proactively building relationships by engaging with local and visiting attorneys and staff in the Flexible Workspace Program in order to understand their individual preferences.
  • Actively anticipating the diverse needs of guests and employees, and responding swiftly and professionally to queries, complaints, and service requests.
  • Assisting with operational activities including overseeing Flexible Workspace reservations, tracking visitors, and other projects as assigned.
  • Collaborating closely with internal teams (i.e., Catering, Mailroom, Facilities, Records, Reception and Conference Center) to identify emerging trends in guest services, share insights, and establish best practices aimed at enhancing overall service delivery.
  • Accurately maintaining and updating office use reports, internal office directories, floor maps, signage, and operational documentation.
  • Supporting Reception desk coverage, including greeting guests, tracking visitors, answering the office reception phone line, and answering email queries.
  • Projecting a high level of service orientation and professionalism in client facing situations, which include meetings, telephone interactions, and written communications.
  • Keeping the Flexible Workspaces clean and organized.
  • Assisting with technical, operational, and clerical tasks, such as assisting in office and conference room reservations, office preparation and turnover between reservations, document printing and scanning, the receiving, processing and distribution of mail to floor guests, replenishing office supplies and coordinating with other office service teams in support of guests.
  • Assisting in the facilitations of office events and event scheduling.
  • Other administrative tasks as needed.

Qualifications

  • Strong interpersonal and customer service skills, including a professional telephone demeanor. Demonstrates the ability to collaborate and communicate effectively with multiple local teams and colleagues in other Gibson Dunn offices.
  • Consistently exhibits high levels of professionalism, responsiveness, and a proactive, problem-solving approach to duties and tasks.
  • Actively participates in the development and revision of operational procedures such as departmental best practices and workstreams.
  • Showcases excellent organizational, prioritization, and time management skills, coupled with a keen attention to detail.
  • Passion for hospitality and service excellence. Problem-solver, self-starter, resourceful, with a customer service mindset.
  • Manages multiple priorities simultaneously and exercises good judgement while ensuring the consistent delivery of high-quality guest experiences.
  • Ability bend, twist, stand, and walk for extended periods, and lift up to 50 lbs.
  • Ability to work overtime as necessary.

Experience

  • Minimum of 3+ years of experience in a law firm or professional services environment.
  • Bachelor’s degree or equivalent relevant experience preferred.
  • Excellent English verbal and written communication skills.
  • Proficient in MS Office Suite and able to learn new software tools quickly.

Compensation & Benefits:

The annual compensation range for this position is $70,000-$82,000. The salary offered within this range will depend upon qualifications and other operational considerations.
