Event Coordinator

Job Summary
Gibson Dunn, a leading global law firm with more then 2,200 lawyers spanning 22 offices around the world, is seeking a detail-oriented Event Coordinator in our London office.
The Event Coordinator will be responsible for assisting the broader events team in supporting the firm’s client facing events, charitable activities, and ticket assets. This position will work closely with the Events team and will report to the Sr. Manager, Client Events.
Responsibilities include:
- Coordinate on-site and remote logistics for client events, receptions, and entertainment.
- Manage event shipping needs, prepare name tags, place cards, and event materials.
- Manage InterAction CRM updates by entering contact information, tracking responses, and generating attendee and RSVP reports.
- Serve as a point of contact for internal event inboxes—responding to inquiries, flagging issues, and ensuring timely follow-up with clients and internal stakeholders.
- Research and recommend venues and vendors based on event needs; maintain up-to-date vendor databases and contact information.
- Collaborate with Accounting to track expected event charges, ensure timely invoice processing, and submit credit card expense memos with proper documentation.
- Oversee organization and inventory of branded materials and event supplies; track usage and recommend replenishment as needed.
- Maintain and proactively update internal department systems, including branded merchandise (swag) inventory and event ticketing schedules.
Qualifications
- Excellent written and verbal communication skills, with professional presence and client service orientation.
- Proficient in Microsoft Office Suite, including advanced Excel, Word, and PowerPoint skills.
- Familiarity with InterAction or other CRM platforms preferred.
- Strong organizational and project coordination skills with exceptional attention to detail.
- Ability to prioritize tasks independently, manage competing deadlines, and adapt to shifting priorities.
- Knowledge of venues and vendors in region and/or other major markets is a plus.
- Collaborative, solutions-oriented mindset with strong problem-solving skills under pressure.
- Willingness to work evenings and weekends, as needed for events.
Experience
- Bachelor’s degree preferred.
- 1–3 years of relevant experience in corporate event coordination, marketing, or business development; law firm or professional services experience a plus.
