Based in Dallas, the Office Services Clerk plays a crucial role in maintaining efficient office operations.
This role reports to the Dallas Office Services Manager.
Responsibilities include:
- Handle copy production: copying, binding, cutting, high-volume blowbacks, and labels.
- Batch print emails and attachments and scan documents using eCopy.
- Perform quality control and maintain workflow and quality assurance.
- Input service costs into the electronic billing log (Excel spreadsheet).
- Maintain and troubleshoot department equipment.
- Handle mailroom duties: sorting, delivering, and shipping mail and packages.
- Schedule, set up, and prepare conference rooms for meetings and special events, including audio-visual equipment, supplies, and handouts.
- Order meals, refreshments, and beverages for meetings and replenish beverage service throughout.
- Remain on call during meetings to assist with requests, then clean up conference rooms afterward.
- Stock conference room credenzas and other storage areas with office supplies.
- Stock, maintain, and clean the employee lunchroom and satellite coffee rooms, including ordering and maintaining inventory.
- Load and unload dishwashers daily; clean microwaves, coffee machines, and soda machines daily and refrigerators weekly; maintain the espresso machine; and check CO2 and syrups in soda machines throughout the day.
- Provide backup coverage at the Reception Desk during scheduled breaks, lunches, and as needed.
Qualifications:
- Proficient in Microsoft Office (Outlook, Office 2010) and able to learn new systems quickly.
- Working knowledge of print management/batch printing software (e.g., Law 5.0) and experience with OCR, PDF, and VHS conversion (a plus).
- Strong communication and customer service skills: professional, courteous, and diplomatic by phone, in person, and email, with excellent grammar and spelling and the ability to correspond with attorneys, paralegals, and other firm members.
- Well-organized self-starter able to multi-task, prioritize, and manage projects to completion under deadline in a fast-paced team environment.
- Dependable and reliable, producing error-free work and exercising sound, independent judgment.
- Flexible to work overtime as needed; able to stand for extended periods and lift up to 30 lbs.
Experience:
- High School diploma or equivalent.
- Prior experience in customer service environment required, law firm experience preferred.

Compensation & Benefits:
The annual compensation range for this position is $45,000 – 54,000. The salary offered within this range will depend upon qualifications and other operational considerations.
