Based in San Francisco, the Community Assistant will be responsible for supporting the firm’s clients, partners and associates in an expanding flexible work model. This position requires effective communication with high profile clients and firm personnel. A successful candidate will be able to efficiently work independently and as a team. The position requires coordination with various firm departments and offices while utilizing available resources in an appropriate, effective and professional manner.

This position is onsite in the San Francisco office and requires regular in-person interaction with attorneys, staff, and clients. Occasional flexibility may be required to support firm events, meetings, or office activities outside standard business hours.

This role reports to the Bay Area Director of Administration.

Responsibilities include:

  • Serving as a first point of contact for clients, attorneys, and staff, providing exceptional customer service and maintaining a welcoming, professional office environment.
  • Overseeing day-to-day office logistics, including booking offices, conference rooms, and collaborative spaces; manage last-minute changes to reservations, including VIP accommodations.
  • Partnering with the Facilities and Operations teams to ensure office spaces are tidy, well-maintained, and appropriately stocked with supplies and materials.
  • Working closely with reception staff to support client arrivals, and space utilization, ensuring seamless service across departments.
  • Monitoring and managing inventory of office and hospitality supplies, restocking and placing orders as needed.
  • Effectively communicating across departments, including IT, HR, Facilities, and Administration, to address office and personnel needs.
  • Anticipating challenges, responding quickly to changing priorities, and maintaining composure under pressure.
  • Handling sensitive firm and client information with discretion and professionalism in accordance with firm policies.

  • Proven ability to provide exceptional client service and maintain confidentiality.
  • Ability to work overtime as necessary.

Experience

  • Candidate must have a minimum of 3 years administrative experience.
  • Prior law firm experience is ideal, however, candidates with strong hospitality, facilities, administrative and/or executive assistant experience within a professional services environment will be considered.
  • Competency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and room-booking or facilities management systems.

Compensation & Benefits:

The annual compensation range for this position is $60-65k. The salary offered within this range will depend upon qualifications and other operational considerations.
