Copy Center Operator

Based in New York, the Copy Center Operator provides high-volume document production and support in a fast-paced, deadline-driven environment. This role requires technical proficiency, exceptional attention to detail, and strict adherence to confidentiality while leveraging advanced software, high-speed Canon devices, and hands-on processes to support over 700 attorneys, paralegals, and staff in the New York office. Due to extended operating hours and the high volume of visiting attorneys and key personnel based in New York, the New York Copy Center also functions as a central hub supporting requests from the Firm’s more than 20 offices worldwide.
This role reports to the Copy Center Supervisor. The hours for this role are Sunday 9:00 AM – 6:00 PM and Monday-Thursday from 2:00 PM to 11:00 PM.
Responsibilities:
- High-volume batch printing from network folders and/or emails with attachments.
- Utilizing Adobe Acrobat and DocBuster software for job scoping, printing, and page counts.
- Batch creation of custom tabs, folders, and labels using Excel, Directory Lister, and macro-enabled Word templates.
- Assembly, punching, and binding of printed materials, including tabbed binders.
- Creating labels in Microsoft Word.
- Scanning documents to email and network folders using eCopy ShareScan & CaptureOnTouch.
- OCRing files to produce text-searchable PDFs.
- Navigating through network drives and copying files across network folders.
- Data transfers to/from USB drives/CDs/DVDs (media), copying files to/from network drives, and reviewing file size properties to determine most appropriately sized media to use.
- Cutting custom sized name tags, tent cards, invitations, and other specialized material for Marketing, Recruiting, Pro Bono and other departments.
- Logging all requests, deliveries, and media insertions into the corresponding logs.
- Capturing charges in for services rendered in Equitrac and a disbursement/billing log.
- After-hours office support including coordinating deliveries with Dial Car messenger service.
- Operating as the sole office services provider on Sundays.
- Basic equipment maintenance, service coordination, paper inventory and supply management, and job ticket archiving.
- Consistent adherence to confidentiality, professionalism, and departmental organization standards.

- Strong professional written and verbal communication skills, demonstrating diplomacy, professionalism, and courtesy in interactions with attorneys, firm personnel, and external clients.

- Adaptable and quick-thinking, exercising sound judgment, discretion, and strict confidentiality.
- Fast learner who demonstrates initiative and readily incorporates constructive feedback.
- Technical proficiency in using and troubleshooting batch printing/print management and other software such as Microsoft Outlook, Microsoft Office, Adobe Acrobat, DocBuster, Directory Lister, eCopy ShareScan, CaptureOnTouch, and Power PDF.
- Dependable, reliable, and trustworthy, with the ability to operate as the sole local office support during off-hours operation.
- Flexibility to work overtime based on the needs of the department, keeping in mind it is a 7-day operation.
- Must be able to stand for extended periods of time and lift up to 50 lbs.
Experience
- High School Diploma or equivalent required.
- Strong operator and computer skills, including experience in creating electronic copies of documents.
- Prior experience in a customer service environment.
- Experience in a fast-paced environment, preferably a law firm, requiring multi-tasking and a high degree of accuracy.

Compensation & Benefits:
The annual compensation range for this position is $50,000-$58,000. The salary offered within this range will depend upon qualifications and other operational considerations.
