Based in New York or Dallas, the Event Coordinator will be responsible for assisting the broader events team in supporting the firm’s client facing events, charitable activities, and ticket assets.
This role reports to the Sr. Manager, Client Events.
Responsibilities include:
- Coordinating on-site and remote logistics for client events, receptions, and entertainment.
- Managing event shipping needs, preparing name tags, place cards, and event materials.
- Managing InterAction CRM updates by entering contact information, tracking responses, and generating attendee and RSVP reports.
- Serving as a point of contact for internal event inboxes—responding to inquiries, flagging issues, and ensuring timely follow-up with clients and internal stakeholders.
- Researching and recommending venues and vendors based on event needs; maintain up-to-date vendor databases and contact information.
- Collaborating with Accounting to track expected event charges, ensuring timely invoice processing, and submitting credit card expense memos with proper documentation.
- Overseeing organization and inventory of branded materials and event supplies; track usage and recommend replenishment as needed.
- Maintaining and proactively updating internal department systems, including branded merchandise (swag) inventory and event ticketing schedules.
Qualifications
- Excellent written and verbal communication skills, with professional presence and client service orientation.
- Strong organizational and project coordination skills with exceptional attention to detail.
- Ability to prioritize tasks independently, manage competing deadlines, and adapt to shifting priorities.
- Collaborative, solutions-oriented mindset with strong problem-solving skills under pressure.
- Willingness to work evenings and weekends, as needed for events.
Experience
- Bachelor’s degree preferred.
- 1–3 years of relevant experience in corporate event coordination, marketing, or business development; law firm or professional services experience a plus.
- Knowledge of venues and vendors in region and/or other major markets is a plus.
- Proficient in Microsoft Office Suite, including advanced Excel, Word, and PowerPoint skills.
- Familiarity with InterAction or other CRM platforms preferred.

Compensation & Benefits:
The annual compensation range for this position is $75,000 to $100,000. The salary offered within this range will depend upon qualifications and other operational considerations.
