Based in Orange County, the Legal Administrative Assistant provides comprehensive administrative and legal support to associates in litigation, corporate, and real estate practices.

This role reports to the Director of Administration, taking daily direction from their attorneys and Legal Administrative Services Supervisor.

Responsibilities include:

  • Assist attorneys with e-filings, including drafting and preparing pleadings, exhibits, declarations, and proposed orders.
  • Direct e-file through various e-filing portals; coordinate service of process and delivery of courtesy copies to the court.
  • Run, review and edit tables of contents, table of authorities.
  • Download case files from court websites, download case summaries from Westlaw or Westprint, and maintain local network drive folders.
  • Coordinate and schedule depositions, court appearances, hearing reservations and related logistics.
  • Assist with attorney court admissions.
  • Download files from file sharing platforms.
  • Prepare closing binders and signature packets, including use of DocuSign.
  • Perform document redlining and complex formatting tasks.
  • Document creation, formatting, and revision including shells/templates, letters, presentations, legal documents, spreadsheets, and other materials.
  • Conduct research and gather information for attorneys as well as facilitate the completion of forms and processes.
  • Arrange office meetings, conference room setups, conference calls, catering, and equipment.
  • Coordinate domestic and international travel through the firm’s travel agency.
  • Handle administrative tasks such as expense and invoice processing, time entry and review, opening new matters, and maintaining contact lists and attorney information.

Qualifications

  • Successful candidate must possess the ability to work effectively with courts, agencies, and internal departments locally and firmwide; highly resourceful in completing tasks and adapting to shifting priorities.
  • Comfortable functioning within a team environment.  Effectively works with peers to ensure the highest level of associate support.  High initiative is important since each team member is expected to self-assign requests and carry their fair share of the workload.  Team members must develop competence for using an intake/ticketing application to aid in the flow of work.
  • Comprehensive knowledge of legal office procedures and consistently demonstrates initiative and good judgment in handling tasks in a timely and professional manner with minimal supervision.
  • Strong interpersonal, verbal, and written communication skills.
  • Excellent attention to detail, organization, and the ability to prioritize multiple tasks and problem solve while remaining calm in deadline-driven situations.
  • Candidate will also exhibit a work ethic of punctuality and reliability.  Excellent grammar, punctuation, proofreading and spelling skills are integral.
  • Ability to exercise discretion with confidential and sensitive information.
  • Ability to work overtime and provide shift coverage when necessary.

Experience

  • College degree preferred.
  • 5 years of experience supporting litigation and/or transactional attorneys at a law firm. Litigation experience is highly preferred.
  • Highly proficient in Microsoft Word, Excel, and PowerPoint.
  • Experience in Adobe, Workshare Compare, Best Authority, Emburse, iManage and Litera software preferred.

Compensation & Benefits:

The annual compensation range for this position is $90-105k. The salary offered within this range will depend upon qualifications and other operational considerations.
