Based in New York, the Legal Administrative Assistant provides team-based administrative support to a group of attorneys in the New York and Washington, DC Offices, in a variety of practice areas. As a member of the Associate Support-East team, this position will be responsible for working with Associate Attorneys and with their colleagues to coordinate daily activities and provide the highest level of administrative support.
The Legal Administrative Assistant will report to the local Legal Administrative Services Manager, taking daily direction from attorneys and Legal Administrative Coordinators.
Responsibilities include:
- Arranging office meetings, conference room set ups, conference calls, catering, and equipment.
- Researching and obtaining information, facilitating the completion of forms and processes, and other administrative tasks, including processing invoices, reimbursements, and entering and reviewing time.
- Coordinating domestic and international travel through firm travel agency.
- Creating, editing, and proofreading legal documents, spreadsheets, and other materials.
- Drafting letters, spreadsheets, presentations, and shells/templates, including complex formatting and preparation of documents.
- Preparing corporate closing binders and signature packets.
- Coordinating and scheduling depositions.
- Effectively working with peers to ensure the highest level of attorney support.
- Performing other administrative duties as assigned.
Qualifications
- Able to work effectively as a member of a team, delivering a high level of quality attorney and client service.
- Demonstrates initiative and good judgment in handling tasks in a timely and professional manner with limited supervision.
- Strong interpersonal, verbal, and written communication skills, including excellent grammar, punctuation, proofreading, and spelling skills.
- Strong attention to detail, organization, and the ability to prioritize multiple tasks and problem solve in fast-paced environment.
- Demonstrates strong work ethic, punctuality, and reliability.
- Able to exercise discretion with confidential and sensitive information.
Experience
- High school diploma or GED required.
- 3+ years of relevant experience, preferably in a law firm or other professional services environment.
- High proficiency in Microsoft Word, Excel, and PowerPoint.
- Experience with Adobe, Workshare Compare, Best Authority and Litera Forte preferred.

Compensation & Benefits:
The annual compensation range for this position is $90,000 to $105,000. The salary offered within this range will depend upon qualifications and other operational considerations.
