The Office Services Clerk works in conjunction with a team in an office consisting of one (1) full-service copy center and two (2) satellite convenience copy/supply rooms, services approximately 160 attorneys and staff.  The facility consists of fourteen (14) conference rooms with seating for up to 139.

Primary responsibilities: The focus of the Office Services Clerk position is copy, mail, hospitality, and backup reception, which include, but are not limited to:

  • Operating copy, bindery, laminating, and cutting equipment
  • Sorting and preparing documents for imaging using eCopy, correctly and accurately
  • Batch printing from disks, shared drives, internet data sites
  • Printing emails and their attachments
  • High volume blowbacks
  • Quality Control
  • Tracking client charges
  • Operating black & white and color reprographics equipment
  • Bates labeling documents electronically
  • OCR and PDF Conversions
  • CD and DVD Burning
  • Operation of mail and courier services including: interoffice mail, supplies, package pickup and delivery, postage, UPS, FedEx
  • Restocking paper and supplies at secretary stations as well as satellite copy rooms
  • Catering and guest services (Hospitality)
  • Work collaboratively with staff to ensure conference room/meeting experience meets expectations
  • Providing assistance throughout the facility as needed including conference room set ups, office moves, and lobby reception coverage
  • Organizing, stocking, and refreshing visitor offices, service areas and kitchens

​Requirements of Position:

  • Ability to lift, move and push up to 40 pounds on a regular basis, and to bend, stoop and reach for objects frequently;
  • Ability to remain on one’s feet (standing and walking) for long periods of time;
  • Exhibit a high level of detail when performing tasks;
  • Interact and communicate clearly with individuals at all levels of the organization;
  • Generate clear, concise and well-organized written communications that are free of spelling and grammatical errors.
  • Readily and easily adapt to changes in the work environment while maintaining flexibility, composure and poise;
  • Consistently meet all deadlines, exhibit dependability, follow instructions well and take initiative to complete tasks without direction as appropriate;
  • Work with clients (internal and external) with local team as well as with colleagues in other Gibson Dunn offices;
  • Must be able to work overtime, as necessary.

Qualifications

  • Must have knowledge of document imaging/scanning software, such as eCopy, Adobe 9.0 and Law 5.0.
  • Must be organized and able to maintain workflow and ensure highest level of quality
  • Must demonstrate the ability to evaluate a print or digital job request and determine the most effective way to complete the job, given the available resources
  • Must understand instructions and effectively and professionally respond to customer needs and requests both verbally and in writing.
  • Must have technical knowledge to maintain and troubleshoot equipment issues; the ability to multi-task, work in a fast-paced setting, meet deadlines and manage projects to completion
  • Writing emails to attorneys, paralegals and other members of the firm is required
  • We are looking for someone dependable, reliable, with the interest and aptitude to learn new systems and approaches.  On the job, it is imperative to show initiative both as a team member and when working independently
  • Must be able to follow detailed and often complex instructions, set priorities, and show good judgment.

Experience

  • High School diploma required. Some college preferred
  • Strong computer skills and experience with Word, Excel, Outlook, eCopy, Adobe 9.0, Law 5.0
  • Experience ordering supplies, entering data and working on room reservation systems preferred
  • Prior experience in office services environment.

The annual compensation range for this position is $55-65k. The salary offered within this range will depend upon qualifications and other operational considerations.
